Regulations for Personal Data Protection (RODO)

Dear Sir or Madam,

The security and confidentiality of your data is our priority. We assure you that we have always been able to make every effort to protect your data by applying appropriate technical and organisational security, including the use of proper protection when designing new services and solutions.

These Regulations serve to inform clients and interested parties about the purpose, scope and categories of personal data processing, the time of data processing and their rights, by the law of May 25, 2018 and regulation of the European Parliament and the Council (EU) 2016/679 of 27 April 2016, on the protection of individuals with regard to the processing of personal data and on the free movement of such data and the repeal of Directive 95/46 / EC (referred to as RODO / GDPR).

Therefore, we would like to inform you about the principles of processing your data.

What is personal data and what data do we process?

Personal data means information about an identified or identifiable natural person (“data subject”); an identifiable natural person is a person who can be identified, directly or indirectly, in particular by an identifier such as name, surname, identification number, location data, internet identifier or one or more specific factors determining the physical, physiological, genetic, psychological, economic, cultural or social identity of a natural person; this data is collected as part of your use of websites, including those stored in cookies and signed agreements. Processing of data means any operation or set of operations which is performed upon personal data or sets of personal data in an automated or non-automated manner, such as collection, recording, organisation, structuring, storage, adaptation or alteration, collection, consultation, use, disclosure by transmission, dissemination or otherwise making available, adaptation or combination, restriction, deletion or destruction. We process the following personal data: name, surname, email address, IP address, telephone number and personal data giving entitlement to commercial and statutory discounts.

Why do we collect and process data?

Your personal data has been collected in connection with the conclusion of the contract and/or the completed form/ as well as during the performance of the contract; your consent will be processed for the following purposes:

  •     provide services related to participation in conferences or other meetings and discussion forums
  •     conduct marketing activities that we have your consent to process.

What are the legal grounds for processing your data?

Any processing of your data must be based on an appropriate legal basis by applicable laws. IUNG-PIB processes your personal data pursuant to Article 6(1)(a), (b), (c) or (f) of RODO in order to enable us to perform the contract that you concluded with us or to perform the activities that you ordered us to perform before the conclusion of the contract, in particular:

  • enable us to verify that you have registered for a conference or meeting organised by IUNG-PIB or a discussion forum;
  • enable us to send out information about our activities and the meetings we hold;
  • enable us to send out invitations to meetings held;
  • enable us to send out newsletters about meetings;
  • enable us to inform you of the possibility of cooperation;
  • enable us to issue you with accounting documents.

Also, the legal basis is the necessity to fulfil the legal obligation incumbent on the administrator and the need for purposes resulting from the legally justified interests pursued by the administrator, such as responding to your letters and requests.

In case of doubts as to the correctness of the processing of your personal data, you have the right to complain about the processing of data to the supervisory authority.

The period of processing your personal data depends on the purpose for which the data are processed, however, we assure you that we do not process your data for a period longer than is necessary to achieve the purposes of the processing.

Whom can we pass on the data to?

Your data may be transferred to data processors in connection with services commissioned by us and to entities or bodies authorized under the law. We assure you that we make every effort to ensure that entities cooperating with us in a reliable and lawful manner to protect your personal data, by applicable laws.

What rights do you have over your data?

You have the right to request access to data concerning you, to rectify, transfer, delete or limit the processing or to object to the processing. If we have based the processing of your personal data on your consent – You also have the right to withdraw Your consent to the processing of Your personal data at any time. Withdrawal of consent does not affect the lawfulness of the processing of your data carried out on the basis of the consent given prior to its withdrawal. The consent is independent of the time in which you use the services, is valid until its revocation. Giving consent means that you may receive customized marketing information and offers concerning products and services to the e-mail address or telephone number provided, as well as telephone contacts for the same purpose.
